PRIVACY POLICY
How we handle your information.
This policy explains what personal information Backstage Reset collects, why we collect it, how we look after it, and the rights you have over it. We keep it to what we need to run the business and deliver our services, and we never sell it.
1. Who we are
Backstage Reset is a team performance system for professional live touring. For the purposes of UK data protection law, the data controller is Sabrina McNeill, trading as Backstage Reset, in the United Kingdom.
If you have any questions about this policy or your information, email info@backstagereset.com.
2. Information we collect
When you contact us. If you use the form on our Work With Us page or email us, we collect your name, email address, your role, the artist or tour you're enquiring about, and anything else you choose to tell us.
When you sign up for news and updates. If you tick the box on our contact form, we use your name and email address to send you occasional updates about Backstage Reset. You can unsubscribe at any time using the link in every email.
When we work with your tour. To design a Custom Touring Reset Plan or deliver any of our services, we collect business information from the tour's management or leadership team. This can include contact details for the people we work with, tour dates, routing and schedules, venue and travel information, and the names and roles of the touring party. If your tour uses Master Tour, this may come to us through view-only access or exported reports, which we only use for the engagement and stop accessing once it ends.
When you use the Backstage Reset Library. If your tour gives you access to the Library, we collect the details needed to create and manage your account, such as your name and email address, and basic information about how the Library is used.
When you pay us. If you buy anything through our website, payments are processed securely by our payment providers. We receive confirmation of the payment and your billing details, but we never see or store your full card number.
When you visit our website. Our website is hosted by Squarespace, which collects standard technical information, such as your browser, device, approximate location and the pages you visit, to keep the site running, secure and to show us how it is used. Our contact form uses Google reCAPTCHA to protect against spam. See section 8 for more on cookies.
3. Information we don't collect
Backstage Reset designs the conditions a team works in. We do not ask for, collect or store health information about individual members of a touring party.
Where a Plan includes an individual onboarding form for the touring party, that form is held by the tour's own named contact, not by Backstage Reset. If someone shares personal health information with us anyway, we will not record it in our files, and we will delete it from any message or document we have received it in.
4. How we use your information, and our lawful basis
UK data protection law requires us to have a lawful basis for each way we use personal information. We rely on the following:
- To reply to your enquiry and discuss working together: our legitimate interest in responding to people who contact us, and taking steps at your request before entering into a contract.
- To deliver our services, including designing Plans, onboarding, check-ins and Library access: performance of a contract with you or your organisation, and our legitimate interest in delivering the work well.
- To send news and updates: your consent, which you can withdraw at any time.
- To run, secure and improve our website: our legitimate interest, and your consent for any non-essential cookies.
- To keep financial and business records: our legal obligations, for example to HMRC.
5. Who we share it with
We only share personal information with trusted providers who help us run the business, and only as far as they need to do their job:
- Squarespace: website hosting, forms, member accounts, email updates and site statistics
- Google: reCAPTCHA spam protection on our forms
- Payment providers, such as Stripe or PayPal, when you make a payment
- Google Workspace: our business email and documents
- Professional advisers, such as our accountant, where needed
We may also share information if the law requires us to. We never sell or rent your information, and we never share it for anyone else's marketing.
6. International transfers
Some of our providers, including Squarespace and Google, may process information outside the UK, for example in the United States or the European Economic Area. Where this happens, the transfer is protected by safeguards recognised under UK law, such as UK adequacy regulations or approved contractual terms.
7. How long we keep it
- Enquiries that don't lead to working together: up to two years from our last contact, then deleted.
- Client and engagement records: for the length of the engagement, plus six years for tax and legal purposes.
- Tour schedules and touring-party information: only for as long as the engagement needs them. Any access to a tour's systems, such as Master Tour, is removed after the post-tour debrief.
- Library accounts: for as long as your tour's access runs, then closed and deleted within 12 months.
- News and updates: until you unsubscribe.
8. Cookies
Our website uses cookies set by Squarespace. Some are essential to make the site work and keep it secure. Others help us understand how the site is used, and are only set if you agree to them in the cookie banner. You can change your choice at any time through the banner or your browser settings.
9. Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct anything that is inaccurate or incomplete
- ask us to delete your information
- ask us to restrict how we use it, or object to us using it
- ask us to transfer it to you or another organisation
- withdraw your consent at any time, where we rely on consent
To use any of these rights, email info@backstagereset.com. We'll respond within one month. There is normally no charge.
10. Keeping it secure
We use reputable, secure providers, keep access to personal information limited to what is needed, and protect our accounts with strong passwords and two-step verification.
11. Children
Our services are for touring professionals and the organisations they work for. They are not intended for anyone under 18, and we do not knowingly collect information from children.
12. Complaints
If you're unhappy with how we've handled your information, please contact us first at info@backstagereset.com and we'll do our best to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
13. Changes to this policy
We'll update this policy when the way we handle information changes. The date at the top shows when it was last updated.
